Application, selection and registration of your doctoral project

Application and selection process

The LMU Medical Faculty values the quality of its doctoral projects strongly. Therefore, the selection of doctoral students is done in a two-step process:

Step 1:

The basis for the selection of doctoral candidates are the following documents, which must be submitted when registering a project:

  • Project description (1 page)
  • Composition of the proposed thesis advisory committee (TAC)
  • curriculum vitae
  • if applicable, statement of the ethics committee

Selection committee: Doctoral Committee

The decisive criteria to be accepted for doctoral studies is whether there is sufficient prospect of a successful completion of the scientifically supervised doctoral process. If this is not the case, the application will be rejected.

Stage 2:

Evaluation of the project by the chairing member of the doctoral committee on the basis of the target agreement. If the target agreement is not approved, the project is considered cancelled.

Here's how it works:

Application and registration

The obligation to register every doctoral project within three months after starting has already existed since October 2016. The application and registration of doctoral projects is carried out via our online platform. The degrees of international candidates are checked for eligibilityon at this point.

For the doctorate to Dr. med. dent. please note:

  • Students of dentistry at a German university can register their doctoral project after the 1st state examination (certified copy)
  • Students of dentistry at foreign universities can only register their doctoral project after they have completed their studies (certified copy required)

You will need to upload the following documents into your Campus Portal account:

Required documents (general):

  • Curriculum vitae
  • Proof of the qualifying degree (certified copy of certificate)
  • Certificate of good conduct (no older than 3 month)

Required documents (project-related):

  • Supervision agreement (with original signatures)
  • Proposal for the members of the thesis advisory committee (TAC)
  • Project description (1 page)
  • If applicable, statement of the ethics committee

You must submit the following declarations by ticking the appropriate options in the Campus Portal:

  • Declaration of previously passed or failed doctoral exams.
  • Declaration about known sanctions in case of inaccurate statements
  • Declaration about criminal investigation proceedings

When you register your doctoral project in the online portal, your supervision agreement is automatically created for you. Once you have entered all the information, you can download it from the portal, have it signed by the members of your supervisory committee, sign it yourself and then upload it again in the appropriate field.

Please send the following documents by mail to the doctoral office:

  • Certificate of good conduct (no older than 3 month)
  • Proof of the qualifying degree (certified copy of certificate)
  • APS certificate (only required for degrees from China, India and Vietnam)

Criteria for the selection of the three-member Thesis Advisory Committee (TAC):

  • All three TAC members must be professors, private lecturers or at least accepted for the process to become private lecturers (with a few exceptions)
  • The first TAC members is your main supervisor
  • At least two TAC members must be actively employed at a department of the Faculty of Medicine or the LMU Hospital.
  • One TAC member may be from the supervisor's institution
  • at least one TAC member must come from an institution other than your 1st TAC member (for independence)
  • One of the TAC members must be member of a clinical institution.
  • A helpful list of all faculty members, their titles and assignment to the different institutes can be found in the LMU Directory of Persons and Institutions. This list should be used as a guide only. Please note that not all members listed here are also actively employed at an institution of the LMU Faculty of Medicine or the LMU Hospital.

Log Book

Once your doctoral research project has been cleared by the Doctoral Office and your project is officially registered, you can start to fill in your personal log book. All documents required for the log book can be downloaded at the bottom of this page - the documents can be filled out by hand or on your computer screen.

As the log book is to document the course of your structured doctoral degree, you must take good care of it! It must be submitted with your thesis and all other required documents, once you have completed your research project.

Your thesis can only be submitted with a complete log book (supervision agreement, target agreement, evaluations, full-time research, training program, final evaluation)! The log book including all agreements and protocol templates can be downloaded below.

Hospitation permits

Doctoral candidates who are working in a department of the LMU Hospital as part of their doctorate and who are not employed by this department should take out a hospitation permit. Hospitation permits are arranged through the Human Resources Department of the hospital. Please contact your departmental office to find out who is responsible for you in the human resources department and to obtain the necessary documents. You can have your family doctor fill out and sign the Medical Certificate for Hospitants in advance. The certificate will be submitted to the company medical service as part of the hospitation approval.
Doctoral candidates who are not working in a department of the LMU Hospital as part of their doctorate should contact the human resources department responsible for them to find out about the regulations that apply locally.
